The Kawagoe City Public Facility Reservation System is being updated.
To reserve meeting rooms, galleries, or plazas for use on or after April 2026, you must register for the new system.

How to Use

When registering at the Exhibition and Collection Office counter

Application Period

From the 1st day of the month six months prior to the month of use through 7 days before the date of use
For the plaza only: Up to one month prior to the date of use Example: For use in October, registration begins on April 1. However, if the 1st is a closed day or similar, registration begins the following day.

How to Apply

First-come, first-served
However, for the first day of registration each month (or the following day if the 1st is a closed day), priority will be determined by lottery among those present at the facility by 9:00 a.m.

  1. Please pay the facility usage fee at the Exhibition Hall office counter at least 7 days prior to your visit.
  2. Please fill out the "Facility Use Application Form" and submit it.

Depending on the purpose of use, we may decline your request following a review.

If we have not received your application by 7 days prior to the date of use, your reservation may be canceled.

Facility usage fees vary depending on the space used, the user’s place of residence (or the organization’s location), the time of use, the day of the week, and whether admission fees are collected or sales activities are conducted. Click here for the fee schedule.

As a general rule, fees that have already been paid cannot be refunded.

We will provide you with a usage permit when you pay the usage fee. Please keep it in a safe place and bring it to the facility office on the day of your visit.

How to Apply for Use of All Facilities (Special Use)

Special Use refers to large-scale independent events held by simultaneously utilizing the conference rooms, galleries, and plaza of the Industrial Tourism Hall.
In such cases, since reservations are accepted prior to regular use, only events that align with the purpose of the Industrial Tourism Hall are eligible.
Specifically, events must meet the Industrial Tourism Hall’s co-hosting criteria. After submitting an application form, business plan, income and expenditure budget, and records of past events, the Industrial Tourism Hall’s designated administrator will review the application and determine whether to approve it, then notify the applicant of the result.

Application Period

From the 1st day of the 11th month prior to the month of use through the last day of the second month prior to the date of use

Important Notes for Use

Before Using This Service

  1. You may not use the facility outside of your authorized time slot. All setup and cleanup time is included in your allotted time.
  2. Users are responsible for setting up and cleaning up the facilities and equipment; please return everything to its original place immediately after use.
  3. If you plan to use audio equipment or other machinery, please consult with facility staff in advance.
  4. If you wish to bring in any items other than those provided, please obtain prior approval from the facility.
  5. Entry is prohibited for anyone who may disrupt order within the facility, and any behavior that disturbs other visitors—such as making loud noises—is prohibited.
  6. If you damage or lose any buildings, facilities, or equipment, you may be required to compensate the organizer for the resulting damages.
  7. Please refrain from eating or drinking in the conference rooms and gallery.
  8. If the event is finalized and requires notification to government agencies, the organizer is responsible for handling this.
  9. Please take any waste or trash generated during the event home with you.
  10. Please follow the instructions of the facility staff.

About Sales

  1. The sale of goods, the display of advertisements, or the distribution of materials within the building or on the premises is prohibited unless prior approval has been obtained from the facility.
  2. Events and solicitation activities intended to sell products or other items are prohibited in the conference rooms and galleries.

Regarding Signs, Posters, Flyers, etc.

  1. Please obtain approval from the facility before displaying signs or posters inside the building or on the premises.
  2. Please include the user’s contact information on posters, flyers, and other materials; if you wish to include contact information for our facility, please consult with us in advance.
  3. When organizing an event that charges admission fees or similar charges, please submit a sample of the flyer or similar material in advance.

Disaster Prevention and Crime Prevention

  1. No open flames are permitted inside the building.
  2. Bringing hazardous materials is prohibited.
  3. Smoking is prohibited inside the facility.
  4. Please refrain from bringing pets (excluding service dogs) into the store.
  5. Please check the location of emergency exits and other facilities in advance.
  6. We assume no liability whatsoever for accidents, theft, or other incidents occurring within the building or on the premises.

Usage Restrictions

Use of this facility is prohibited or restricted in the following cases:
Additionally, even if you are eligible to use the facility, we may conduct a screening during the application process.

  1. When it harms the public welfare.
  2. When it is contrary to the purpose for which the facility was established.
  3. When there are administrative difficulties.

We may revoke your permission or suspend your use in the following cases:

  1. When there is false information in the application.
  2. When a person violates municipal ordinances or regulations, or fails to follow the instructions of a municipal employee.
  3. When the conditions of the permit are violated.
  4. When used for purposes other than those authorized.
  5. When the right of use is subleased or transferred to a third party.
  6. When authorization to use the service was obtained by fraudulent means.
  7. When the usage fee is not paid by the specified date.
  8. When the designated administrator deems it particularly necessary.

Days when the service is unavailable

Please contact us for information on temporary closures, such as days set aside for facility maintenance.

Parking and Other Facilities

  1. There is no parking available. Please use public transportation to visit us.
  2. Facility staff may enter the venue in the course of their duties.
  3. If you have any questions, please ask a staff member.
